How to Share Documents From SharePoint on the Web

This article will show you how to share specific files and folders in SharePoint. These functionalities also exist on the file explorer version, check out this article here.

NOTE:

  • Sharing documents will be read only by default. If a user is a significant contributor the repository, they will need to be added as a member to the SharePoint site to modify documents. Follow this article: How to Add Members to Document Repository in SharePoint
  • These instructions are only for sharing to Wiley X domain users. You cannot share to external users by default
  • Permissions to documents propagate within the folder structure (If you share a folder, all files and folders within the folder is accessible)


To share a specific file or folder, follow these instructions:

  1. Navigate to the document you want to share in SharePoint
  2. Select the document/s you want by clicking the radio button on the left of the file/folder and then click Share (multiple documents can be selected)
  3. Click here to specify how you want to share the document
  4. Select the following that best suit your needs, then check the box if you'd like to allow them to edit the contents of the document, and finally click Apply:
    1. Anyone with the link - Anyone inside or outside the organization can access this (This is not selectable by default for security reasons)
    2. People in Wiley X, Inc. with the link - Those within the organization can access this
    3. People with existing access - Those who've had access before but lost the link
    4. Specific people - Certain people you list can access this. These can be people outside the organization

  5. Next, type in the name or email of the user you'd like to share the link to. Select the name in the drop down menu to add the user.
  6. In this example, the document will only be shared to Test User 3 with edit access. People you specify was selected (step 4). Once you've added all the users you want, you can type in a message below and click Send to email them the link (or you can follow step 7 to copy a link).
  7. Alternatively, you can generate a link to send it through Outlook or Teams. This can be done by click Copy link instead of Send.
  8. You can then send this link directly to them via Teams or Outlook
  9. When the recipient receives the link, they will need to enter in their email address to gain access to the document. From their, have them follow the remaining steps to complete access
